If the computer remains off 

  • Verify status

    • Ensure that the computer is indeed offline for more than a month. Check network logs or monitoring tools to confirm the last connection date.

  • Contact Person in Charge (PIC)

    • Inquire about the status of the computer and whether the user is offboarding, on a long leave, or if there are any other known reasons for the extended downtime.

  • Follow up

    • Backup Data

      • Backup documents, files, settings, and any other data stored on the computer.​

    • Export Data

      • Export mail, contacts, or calendar items to a PST file if you are using Microsoft Outlook or an appropriate file format for other email clients. This will allow the user's data to be easily transferred or accessed later if needed.​

    • Format computer

      • After ensuring that all necessary data is backed up and removed, format the computer's hard drive. This will wipe all existing data and applications from the computer.​​​
